A Guide to Booking Your Photo Session | Family Photography

Recently, a terrible thing happened.


A date, who someone thought was secure, wasn't available when they got back to me a month later. And boy did that bring me down because it was my own fault for not giving the family a deadline! I have quite a tight schedule at the moment because I still work at the hospital as well as doing photography, but it's never got in the way before. The good thing is, the reason this has never happened is that demand has never been so high until now. So on a positive note, thank you to everyone who is supporting CP and enabling it to grow slowly but surely.


From this mistake/lesson, I've implemented a rule where I hold your chosen date for a certain length of time that I will specify to you.


Booking your photo session takes 3 simple steps! But only until these are complete can I secure your date. So I thought I'd detail why these are in place and give you some insight into my booking system.


Step 1: Get in Touch

The best way to contact me for photography is via my contact page on my website or by email, caltonphotography@gmail.com.


Once you get in touch we'll liaise about a date and what sort of photos you're wanting. Once agreed, I'll send you over the booking details via email and pencil you in my diary.


Step 2: Consent

Within that booking details email will be a consent form/photography agreement.


Consent form, why?

Why do I need consent when you've asked me to take your photos? Without your written consent I am not allowed by law to take and share your images. It states the places your images may be shared and you'll need to sign on behalf of your family.


The photography agreement contains:

  • States what we have agreed between us

  • Payment details

  • Cancellation information

  • Information regarding how I'll use your photos




Step 3: Payment

You'll be required to pay a 25% non-refundable retainer so secure your chosen date. This will be made payable upon booking.


The remainder of the balance would need to be paid by the date of your shoot.


Only once these are received can I write you in PEN in my diary.



Why is this in place?

The reason why there are steps in place to secure your date is so we can plan ahead and that we both know exactly what's going on. I would hate to miss out on a photo session just because of poor communication!!


When demand increases too for example, in the summer, weekends get booked up very quickly so I often have a few people enquire about the same dates. So to ensure it is fair for everyone and means no one misses out, we have a process!
